Staff will take photos at the office Christmas party whether you plan for it or not. The question for organisers is where those photos end up. Left alone, they spread across personal phones, group chats and social media, where nobody can take them down if someone is unhappy with one.
This guide looks at a simple way to keep party photos fun and easy to share, while giving the organiser some control. It's practical advice rather than legal advice, so speak to your HR team or adviser about your own policies.
Why office party photos can cause problems
A photo that's funny on the night can look different on a public profile the next morning. Colleagues may not want to appear online at all, and once a photo has been posted on someone's personal account, the company has little say over it.
Banning phones isn't realistic, and it takes the fun out of the evening. A better approach is to give people a good alternative: one place to share their photos, with someone looking after it.
Agree the basics before the party
- Say where photos should go. Include your gallery's QR code in the invite, so sharing there is the obvious choice.
- Ask people to be considerate. A short, friendly reminder to check with colleagues before posting anything publicly goes a long way.
- Tell people how to raise a concern. Name the organiser, so anyone unhappy with a photo knows who can remove it.
- Check your own policies. If your company has a social media or data protection policy, make sure the plan fits with it.
Use one gallery instead of personal social media
With QRPix for Christmas parties, you create an event and get one QR code. Staff scan it, upload from their own phones and see everyone's photos in a shared gallery. They don't need an app or an account, and you decide who gets the code or link.
Photos can appear on a screen at the venue as they arrive, which gives people a reason to share there instead of posting elsewhere. A gallery won't stop someone posting to their own account, but it does give them somewhere better to put their photos.
Stay in control of what appears
The organiser can remove any photo or video instantly from the dashboard, on every plan. If you'd like an extra safeguard, the Gold and Custom plans also screen uploads for explicit images and filter profanity in messages. For anything showing on a big screen in front of the whole company, it's worth having someone keep an eye on the dashboard during the evening.
What to do after the party
- Go through the gallery the next morning and remove anything you'd rather not keep.
- Share the link with staff who missed the party, or who'd like copies.
- Download everything as one ZIP if you'd like to use photos for internal comms. It's sensible to check people are happy before using a photo outside the company.
Galleries stay available for 12 months on every plan, so decide how long you want to keep the photos and download anything you need before then. You can read how we handle personal data in our privacy policy.
Running a bigger company event?
The same approach works for awards nights, conferences and team days. See our page on corporate event photo sharing, or compare plans on the pricing page.
